Announcing Applications for the First Annual

Culture Court

at the

Urbana Sweetcorn Festival

 

 

Organizations are cordially invited to participate in the first community-wide cultural and ethnic event aimed at educating local residents about the diversity of backgrounds of those living in the Central Illinois area. 

 

WHAT?

As a portion of the 2004 Sweetcorn Festival, an area of Downtown Urbana has been designated as the “Culture Court”; spaces within this locale are available to groups to showcase ethnic or cultural performance (including dance), food, attire, music, and/or artifacts (for lack of a better word, things that help people understand about the group’s background.) 

 

DETAILS

Participating organizations will be “hosts” of their space, 11’x11’, from 11am to 11pm on Saturday, August 28th, rain or shine.  Setup and takedown must occur before and after these times.  Each area can be furnished by the group with any sort of configuration best suited to what is being displayed (meaning booths, a performance area, etc.)  Fees for the area are $25 for student organizations, and $50 for community groups.  This is a great discount from the normal vendor fees of over $100 or more!  If food is offered, the normal food guidelines of the Festival must be followed; they can be found on the Urbana Business Associations’ website at www.urbanabusiness.com under the Sweetcorn Festival’s Vendor link. 

 

HOW TO APPLY

SPACE IS LIMITED, and they are being taken up fast!  We ask organizations apply by August 6th by doing the following so we can best assess the layout of Culture Court within the Festival.  To apply, simply fill out the vendor form found on the aforementioned Sweetcorn website, and bring it to Tina Lam at the Urbana Business Association at 111 W. Main in Downtown Urbana.  Also needing to be contacted is Genevieve Borich, coordinator of the Culture Court; call her at 265-7507 to receive assistance on the use of each organization’s area. 

 

Booth space is greatly discounted to participants.

 

Criteria for the Culture Court Pariticipants

 

  1. Must have filled out application and sent in by August 7th, 2004 deadline.

 

  1. Must have pre-paid their non-refundable $25 (for student groups) or $50 (for community organizations) entry fee with their application.  Make checks payable to “UBA.”

 

  1. Food guidelines must be followed (see website) if food is to be sold.

 

 

 Important Facts to Note

  1. The 29th Annual Sweetcorn Festival is scheduled for Saturday, August 28th 11:00am to 11:00pm.
  2. Vendor spaces will open to any person, business, civic organization, or restaurant.
  3. Hurry! Electrical and water sources are limited and assigned on a “first come, first come served” basis.
  4. Application deadline is July 15, 2004.  All application materials and vendor space payments MUST be received by this date or a late fee will be enforced.
  5. Return applicants, relevant paper work, and payment by mail. FAXES WILL NOT BE ACCEPTED!
  6. All vendors will be assigned spaces on the street, and may rent tables and chairs for a nominal fee.
  7. Home-baked and canned goods are NOT PERMITTED for sale or distribution unless proof can be supplied that goods were prepared in an approved commercial kitchen.

 

Sweetcorn Festival Rules and Vendor Terms of Agreement

1.      The Sweetcorn Festival (herein called "Festival") Coordinator and the Urbana Business Association Board Members (herein called "Board Members") are authorized to enforce Festival rules (herein called "Rules") and Vendor Terms of Agreement (herein called "Terms").

  1. Vendor understands that the Sweetcorn Festival Coordinator or Board Member may prohibit Vendor participation if Vendor or Vendor booth is deemed inappropriate for Festival.
  2. That Vendor is granted permission to operate at the Festival under full compliance of the Rules and Terms as set forth.
  3. That one violation of any Rules or Terms shall be sufficient grounds to expel Vendor from continued participation on Saturday, August 28th, 2004, (herein called "Days of Festival").
  4. That refunds WILL NOT be issued unless deemed otherwise by Sweetcorn Festival Coordinator.
  5. That Vendor holds harmless and indemnifies the Urbana Business Association, its Board Members, any business connected with the Board Members, the Festival Coordinator, and authorized Festival Personnel as recognized by the Board Members, from any and all responsibilities, losses of income, claims, damages, suits, reasonable attorney's fees, costs, expenses or judgments incurred by, or resulting from, the enforcement of any of the Rules or Terms from the sale or consumption of goods sold by Vendor at Festival.

 

Booth Set up Rules

1.       Vendors are completely responsible for setting up their booth.

2.      Vendors are completely responsible for all booth operation materials including staffing their                      booth during hours of operations during festival hours.

3.       Vendors may begin set up on Saturday, August 28th at 8 am.

4.       Vehicles may be pulled onto street for unloading, but MUST be removed by 10am.

5.       Set-up should be complete by 10:45am.

 

Booth Breakdown Rules

1.  Vendors are completely responsible for setting up their booth.

2.       Vendors are completely responsible for cleaning their booth space after the festival.

3.       Vendors MAY NOT begin breakdown until 11pm unless otherwise notified by authorized                 festival coordinator.

4.      Vendors may request early dismissal from the festival pending uncontrollable circumstances. In such instances the Festival Coordinator is the only source to grant approval.
